Time Entry Types

Work (Project Time)

Time spent on specific projects. Select the project from the dropdown and provide a detailed description of tasks completed.

PTO (Paid Time Off)

Vacation days, personal days, and planned time off. Submit a PTO request for approval before logging PTO hours.

Sick Time

Medical appointments, illness, or family care needs. No prior approval required for sick time.

General Work

Non-project-specific work like meetings, emails, administrative tasks, and internal activities.

Training & Development

Time spent on courses, workshops, certifications, and professional development activities.

Time Entry Best Practices

Be Specific:Provide detailed descriptions like "Implemented user authentication feature" rather than just "Coding"
Log Daily:Track time every day while tasks are fresh in your mind for better accuracy
Use 15-Minute Increments:Round time to 0.25 (15 min), 0.5 (30 min), 0.75 (45 min), or whole hours
Review Before Submitting:Double-check all entries for accuracy before submitting your timesheet

Automated Time Entry Rules

Automated rules help you save time by automatically creating time entries for recurring work patterns. Rules can be scoped to individuals, project teams, or the entire organization. When you open your timesheet, applicable rules are automatically applied to fill in regular activities.

How Rules Work

  • Automatic Application: Rules run automatically when you view your timesheet for a week. Entries are created silently in the background.
  • Skip Existing Entries: By default, rules skip days that already have time logged to avoid duplicates.
  • Duplicate Prevention: The system prevents creating duplicate entries even if you trigger rules multiple times.
  • Manual Override: Click "Apply Rules" in your timesheet to manually apply rules with a preview of what will be created.

Personal Rules

Rules that apply only to a specific individual. Great for personal recurring meetings, 1-on-1s, or individual work patterns.

Who can create: Employees for themselves. Managers can create Work-type rules for direct reports. Admins can create any type.

Project Rules

Rules that apply to all users assigned to a project. Perfect for team ceremonies, sprint planning, or project-wide activities.

Who can create: Managers (for their projects) and Admins. Must be Work type only.

Business-Wide Rules

Rules that apply to everyone in the organization. Ideal for company-wide meetings, all-hands, or mandatory training.

Who can create: Only Admins can create business-wide rules.

Rule Configuration Options

Days of Week: Select which days the rule applies (e.g., Monday-Friday for daily standups)
Hours: Set the number of hours to log (e.g., 0.5 for a 30-minute meeting)
Entry Type: Choose Work (with project), PTO, Sick, Training, or General. Note: Project rules must be Work type.
Date Range: Optionally limit rules to a specific date range (e.g., for temporary projects or sprint cycles)
Project: Required for Work type and Project-scoped rules. The project determines who sees project rules.

Common Examples

Personal: Weekly 1-on-1

Scope: Personal • Type: General • Hours: 0.5 • Days: Friday • Creates a 30-minute entry every Friday for your manager meeting

Project: Team Standup

Scope: Project • Type: Work • Project: Mobile App • Hours: 0.25 • Days: Weekdays • All team members get 15-minute standup entries

Business: All-Hands Meeting

Scope: Business • Type: General • Hours: 1 • Days: First Friday of month • Everyone gets the monthly meeting entry

Important Notes

  • • Rules only apply to editable timesheets (Draft, Returned, or Reopened status)
  • • Disabled rules won't run automatically - enable them on the Rules page
  • • You can always edit or delete auto-generated entries like any other time entry
  • • Project rules only apply if you're currently assigned to that project
  • • If you're removed from a project, its rules will stop applying to you automatically
  • • Rules with deleted projects will be skipped until the project is reassigned
  • • Managers can only create project rules for projects they're assigned to
