How to log time, get weeks approved, run payroll and invoice clients in Temporic. Pick a topic below.

Accountants

Give your outside accountant or bookkeeper their own sign-in, free. They see which weeks are approved and who is holding up the rest, and, if you allow it, they bill your clients and run your payroll from approved hours. The first half of this page is for owners; the second half is for accountants.

Who this is for: Owners (workspace admins) who want their accountant or bookkeeper in Temporic, and the accountants who work with them.

Watch: your accountant runs payroll

An owner invites a bookkeeper with payroll access; the bookkeeper downloads September payroll and switches to another client. · 1 min 40 s

Owners: invite your accountant

  1. 1.Open People and choose the Accountants tab.
  2. 2.Under Invite an accountant, enter their email address.
  3. 3.Under What they can open, tick Invoicing, Payroll, both or neither. Timesheet status is always included.
  4. 4.Click Send invitation. They get an email and can use a Temporic account they already have.

Free, up to 3

Every workspace includes up to 3 accountant seats at no charge, and accountants never count toward your billable seats. A pending invitation holds a seat until it is accepted, cancelled or expires.

What your accountant can and can't do

Timesheet status
Always included, read-only. Who has logged, what is approved, and who is holding up a week.
Invoicing
Bill approved hours, create, issue and send invoices, and record payments. Sees client billing rates.
Payroll
Approved hours per person by pay period, with time off and sick hours. Downloads payroll files and marks periods exported. Sees pay rates and gross pay.

Accountants never approve, return or edit anyone's hours, manage your team or change your billing. Approving stays with you and your managers.

Change or remove access

On the Accountants tab, tick or untick Invoicing and Payroll, including pay rates beside each accountant; the change applies right away. Remove ends their access to your workspace immediately. Their other businesses are unaffected.

Accountants: accept an invitation

  1. 1.Open the invitation email and follow its link.
  2. 2.If you're already signed in, click Accept invitation. If not, choose Sign in to accept, or Create an accountant account if you're new to Temporic.
  3. 3.The business appears on your Clients page. Invitations from other businesses land in the same sign-in.

Switch between businesses

Click the business name at the top of the menu, or press Ctrl+K (Cmd+K on a Mac), and pick a client. The menu then shows what that business lets you open: Timesheets always; Invoices and Financial summary with Invoicing access; Payroll with Payroll access.

The Clients page

Clients is your home: every business you work with, and what each needs from you now. The cards at the top show the most urgent first, and Needs me filters the table to them.

Changed after your export
Approved hours in a pay period you exported are different now. Review change opens Payroll.
Weeks not approved
Hours that can't be billed or paid yet, and who they're waiting on. See who opens Timesheets; Copy chase note copies a short message for the owner.
Ready to bill
Approved hours not invoiced yet. Create invoices starts one.

The table also shows each client's hours this period, the amount ready to bill and anything overdue.

Timesheet status

Timesheets shows one month: hours approved or locked (safe to bill and pay), waiting for review, weeks that need attention, and the current week in progress. Each person's weeks sit in a row with their reviewer. Choose Holding up the close to see only the weeks that aren't approved.

Click a week to see its work, billable, time off and sick hours by project. You can't approve it, so the panel gives you a note to copy and send to the owner, for example: "Lee Park, week of Sep 7 (38.50 h) is waiting on Priya Nair. I can't bill or pay those hours until they're approved."

Invoicing

With Invoicing access you work in Invoices exactly as the owner does: create an invoice from approved billable hours, issue it, send it by email with automatic reminders, and record payments made by ACH, wire or check. See for every step. Card payments go to the owner's own Stripe account, which only the owner can connect.

Payroll

With Payroll access, Payroll shows a pay period you pick: each person's regular, overtime, time off and sick hours, their approved total, pay rate and gross. Only approved and locked weeks count. Hours that aren't approved yet are listed as Held back with the reason; See who's holding them opens Timesheets.

  1. 1.Pick the pay period at the top of the page.
  2. 2.Click Payroll file and choose Gusto, ADP RUN or Another provider. Add any missing Payroll IDs; the dialog tells you in plain words what's missing before it lets you download.
  3. 3.Download the file and import it in the payroll provider. Downloading records the export for you.
  4. 4.If you ran payroll another way, click Mark as exported so Temporic can watch the period for changes.

Changed after export

If approved hours change after you exported a period (say a week is reopened and corrected), Payroll shows who changed, for example "Sam Okafor: 77.00 h exported, 69.00 h now", and the client shows Changed after your export on Clients. You also get one email once the correction is approved. Correct the pay, then download the file again or click Mark as re-exported.

The Gusto and ADP RUN layouts follow each provider's published import format. Check your first import on a test payroll. More in .

Good to know

  • Accountants only ever count approved hours. Anything still waiting shows as held back, never as pay.
  • An accountant with no Payroll access sees an explanation instead of the Payroll page; ask the owner to turn it on.
  • Owners see payroll changes on Home and Reports too, so whoever runs payroll finds out.
  • Bookkeeping practices that joined through a Temporic referral invitation also have a Referrals page with their link and earnings.
