Manage team members, assign managers, control project access, and assist employees with time tracking.
There are no user limits. Billing is per active user — inviting a teammate adds a seat, deactivating one removes it.
Use the action buttons or the "⋯" menu next to any team member to access management options:
Update user's name, email, and profile information. (Admin only)
NEW: Create time entries on behalf of employees (for sick days, vacations, or forgotten entries). Admins: any user. Managers: direct reports only.
Assign or remove project access for this user. They can only log time to assigned projects.
Set the user's direct manager for timesheet approvals. (Admin only)
View and approve this user's timesheet history.
Disable access for inactive employees without deleting their data. Can be reactivated later. (Admin only)
Admins and managers can now create and edit time entries on behalf of employees. This powerful feature helps you assist team members and make corrections without disrupting the approval workflow.
Navigate to the Team page
Click Team in the main navigation menu
Find the employee
Use the search bar or scroll to find the team member you want to help. You can filter by role or status if needed.
Open the actions menu
Click the "⋯" button next to the employee's name to open the action menu
Select "Log Time"
Click the "Log Time" option from the menu
Fill in the time entry details
• Date: Select the date for the time entry
• Project: Choose the project or time category (Work, PTO, Sick, General, Training)
• Hours: Enter the number of hours (in 0.25 increments)
• Description: Provide details about the work or reason
Review and save
You'll see a banner indicating you're creating an entry for another user. Review all details and click "Save" to create the entry.
When an employee is on approved PTO, log their vacation days so their timesheet is complete when they return.
If an employee is too ill to log time, create sick time entries on their behalf to keep their timesheet current.
Fix simple errors (wrong project, typo in hours) without returning the entire timesheet to the employee.
Help new team members by creating example entries that demonstrate proper time tracking procedures.
When an employee forgets to log time before a deadline, you can add missing entries to prevent payroll delays.
Make last-minute corrections needed for accurate payroll processing without waiting for employee availability.
Can create and edit time entries for any user in the organization, regardless of reporting structure.
Can create and edit time entries only for direct reports - employees who report directly to them. Cannot access other employees' timesheets.
Cannot log time for other users. Can only manage their own time entries.
When you create or edit time entries on behalf of employees, the system automatically records:
Example: When you create a PTO entry for "Jane Smith", the time entry will show:"Created by John Manager on behalf of Jane Smith on Nov 12, 2025"
Communicate with the employee: Let them know you're logging time on their behalf and why
Be accurate: Ensure the hours, dates, and project assignments are correct
Add clear descriptions: Document the reason, especially for corrections or unusual entries
Use sparingly for corrections: Reserve this for genuine assistance; encourage employees to log their own time when possible
Review before approving: If you've made entries for an employee, review their full timesheet before approving
Can track their own time, submit timesheets, and request PTO. No access to other users' data.
Can approve timesheets and manage direct reports only. Access to team reports and dashboards.
Full system access: manage all users, projects, billing, and handle exceptional cases (reopen locked timesheets, etc.).
