To export reports: Navigate to Reports page → Select report type → Choose date range → Click "Export" → Select format
Follow this workflow at the end of each month to ensure all timesheets are finalized for payroll:
Go to Reports → Month-end readiness. The calendar shows status of all timesheets for the month. Green = Locked, Blue = Approved, Yellow = Pending, Red = Missing.
The "Outstanding items" panel lists employees with pending or missing timesheets. Click Review in Approvals for ready weeks or Edit on behalf for missing entries.
Go to Approvals and process any remaining ready-for-review weeks. Approve valid ones or return with feedback if corrections are needed.
Once approved, lock timesheets to prevent further changes. Locked timesheets cannot be modified except by admins.
Use Export for payroll workflow to generate a PDF or CSV of all finalized timesheets for the pay period.
When to use: When an employee is unavailable (vacation, sick leave) or has missed the submission deadline, managers and admins can log time entries on their behalf.
Solution: Go to Team → Find employee → Log time for user → Add their hours → The timesheet will be in Draft status for them to submit when they return, or you can submit on their behalf.
Solution: Only admins can reopen locked timesheets. Go to Approvals → Find the timesheet → Click "Reopen" → Make corrections → Re-approve → Re-lock.
Solution: In Approvals, click "Return" with feedback explaining what needs to be corrected. The employee will receive a notification and can edit their timesheet.
Solution: Use Reports → "Last month clean-up" workflow. This filters to the previous month and shows all outstanding items. Process each one by either approving, returning, or editing on behalf.
