Manager & Admin Feature

Generate comprehensive reports for payroll processing, billing, and workforce analytics.

Available Reports

Payroll Reports

Automatically calculate gross pay for employees based on their logged hours and cost rates.

  • Regular Pay: Hours up to 40 per week × Hourly Cost Rate
  • Overtime Pay: Hours over 40 per week × Overtime Rate (default 1.5x)

Pay Period Summaries

View total hours by employee for current week, current month, last week, last month, or custom date ranges.

To export reports: Navigate to Reports page → Select report type → Choose date range → Click "Export" → Select format

Month-End Closing Workflow

Follow this workflow at the end of each month to ensure all timesheets are finalized for payroll:

Check Month-End Readiness

Go to Reports → Month-end readiness. The calendar shows status of all timesheets for the month. Green = Locked, Blue = Approved, Yellow = Pending, Red = Missing.

Review Outstanding Items

The "Outstanding items" panel lists employees with pending or missing timesheets. Click Review in Approvals for ready weeks or Edit on behalf for missing entries.

Approve Remaining Timesheets

Go to Approvals and process any remaining ready-for-review weeks. Approve valid ones or return with feedback if corrections are needed.

Lock Approved Timesheets

Once approved, lock timesheets to prevent further changes. Locked timesheets cannot be modified except by admins.

Export for Payroll

Use Export for payroll workflow to generate a PDF or CSV of all finalized timesheets for the pay period.

Editing Time on Behalf of Employees

When to use: When an employee is unavailable (vacation, sick leave) or has missed the submission deadline, managers and admins can log time entries on their behalf.

How to Edit on Behalf:

  1. 1.Navigate to Team page
  2. 2.Find the employee in the list and click the three-dot menu
  3. 3.Select "Log time for user"
  4. 4.A drawer opens with the employee's timesheet grid
  5. 5.Navigate to the correct week and add time entries as normal

Manager Permissions

  • • Can edit Draft, Submitted, Returned timesheets
  • • Can only see projects assigned to the employee
  • • Cannot edit Locked timesheets

Admin Permissions

  • • Can edit all timesheet statuses except Locked
  • • Can toggle "Show all projects" for overrides
  • • Can reopen Locked timesheets if needed

Common Admin/Manager Scenarios

Employee forgot to submit before going on vacation

Solution: Go to Team → Find employee → Log time for user → Add their hours → The timesheet will be in Draft status for them to submit when they return, or you can submit on their behalf.

Need to correct a locked timesheet

Solution: Only admins can reopen locked timesheets. Go to Approvals → Find the timesheet → Click "Reopen" → Make corrections → Re-approve → Re-lock.

Employee submitted incorrect hours

Solution: In Approvals, click "Return" with feedback explaining what needs to be corrected. The employee will receive a notification and can edit their timesheet.

Last month has outstanding timesheets

Solution: Use Reports → "Last month clean-up" workflow. This filters to the previous month and shows all outstanding items. Process each one by either approving, returning, or editing on behalf.
