Invoices

Turn approved hours into an invoice, email it to your client, let reminders chase it, and see it marked paid when the money arrives, by card through your own Stripe account or by ACH, wire or check.

Who this is for: Admins and managers, and accountants the owner gave Invoicing access. Invoice settings and card payments are admin only.

Watch: from approved hours to paid

Build an invoice from approved hours, issue and send it, see what the client sees, and record the payment. · 1 min 20 s

Set up once

Your business details and defaults

In Settings → Workspace, add your business address. Under Invoicing, add your billing email, phone, tax ID (labelled for your country: EIN, VAT number, ABN, GST/HST number, GSTIN), logo, payment terms, tax name and rate (for example "VAT 20%"), payment details such as your bank account, a note to clients, and the invoice number prefix.

New invoices start from these defaults. Changing them later never alters an invoice already created.

Your clients' details

On each client (Projects → Clients), add a billing address, an email for sending invoices and, where needed, their tax ID. They print under Bill to.

Create and issue an invoice

  1. 1.Go to Invoices, click Create invoice and pick the client. The preview shows exactly what your client will see.
  2. 2.Check the issue date and terms (Net 14, Net 30, Due on receipt…); the due date follows the terms. Add a reference / PO number if your client needs one.
  3. 3.Click Add approved hours. Only approved, billable hours not already on an invoice appear. Choose Show as: one line per project (the default), one line per person, or every entry. The service period fills in from the hours you pick.
  4. 4.Add lines for anything else, such as a fixed fee, set a discount or tax, and Save draft. Drafts can be edited freely and read "Draft" instead of a number.
  5. 5.Click Issue invoice. The invoice gets its number (for example INV-2026-0007) and its amounts and client details are fixed. If your business or the client has no address, Temporic warns you first.

Numbers are given out at issue, so deleting a draft never leaves a gap. To correct an issued invoice, void it and create a new one; voiding frees its hours to be invoiced again.

Send it to your client

  1. 1.On an issued invoice, click Send invoice. The client's email, a subject and a message are filled in. Edit them, add up to five addresses, and tick Send me a copy if you want one.
  2. 2.The email comes from "Your business via Temporic". Replies go to the billing email in your invoice settings (or to you, if none is set).
  3. 3.The email has a View invoice button. Your client can view, print or save the invoice as a PDF from that page, and pay by card if you accept card payments.

The invoice page then shows who it went to and an Email history with each send and reminder and whether it was delivered. Use Send again any time; every email carries the same link.

Under Client link you can copy the link, create a replacement (the old link, including the one in emails already sent, stops working) or disable it.

Automatic reminders

With Remind automatically on (the default when you send), Temporic emails your client 3 days before the due date, on the due date, then 7 and 14 days after it. Each reminder shows the balance still owed. The invoice page says when the next one goes out.

Reminders stop as soon as the invoice is paid or voided, or if you disable its client link. Turn them off for one invoice with the checkbox on its page. Once the invoice is overdue you can also click Send reminder now.

Get paid by card through your own Stripe

  1. 1.An admin opens Settings → Workspace → Card payments and clicks Connect Stripe. Stripe asks for your business, identity and bank details on its own pages, then sends you back.
  2. 2.If Settings says Stripe needs more information, click Continue setup. Once Stripe turns on card payments, Settings reads "Connected to Stripe account …".
  3. 3.Your client now sees a button to pay by card on the invoice link, and the email button reads View and pay invoice. The money goes straight to your Stripe account.

The payment is recorded on the invoice automatically ("Card via Stripe"), the invoice turns Paid and reminders stop. Stripe pays out to your bank on its usual schedule and charges its standard fee (in the US, 2.9% + 30¢ per card payment); Temporic adds nothing.

Hide the pay button at any time with the Show "Pay by card" on invoices switch. Refunds, disputes and payouts are handled in your Stripe dashboard.

If a card payment doesn't show up

Temporic doesn't rely on one message from Stripe. When your client comes back from paying, Temporic checks that payment with Stripe directly, and every hour it checks any card payment that was started but not yet recorded.

If your client says they paid and the invoice still shows a balance, open it: while a card payment is in progress the page shows Card payment started with Check Stripe for payment, which records it on the spot if Stripe has it.

If a card payment arrives for more than the balance (for example, you recorded a bank transfer while your client was paying by card), only the balance is applied and a warning shows the amount to refund in Stripe. After refunding, click I've refunded it.

Record ACH, wire and check payments

  1. 1.For ACH, wire, check, cash or a card taken elsewhere, open the invoice and click Record payment.
  2. 2.Keep the full balance and today's date, pick the method, add a reference such as a check or trace number, and click Mark as paid.
  3. 3.For a part payment, change the amount; the button reads Record payment and the invoice shows "Partially paid" with the balance left.

The method you used last is picked for you next time. Only record money you have already received.

Partially paid
Some money recorded; a balance is still due.
Overdue
Past its due date with a balance still owed.
Paid
The full amount has been received.
Void
Cancelled. Kept for your records; its hours can be invoiced again.

Good to know

  • Reminders go to your clients, not your team, so the workspace email switch in Settings doesn't silence them; turn them off per invoice instead.
  • Recorded a payment by mistake? Use Correct record. It reverses the amount and keeps the original entry in the history. It doesn't move money; card refunds are made in Stripe.
  • Print an invoice or save it as a PDF from your browser, on the invoice page or the client link.
  • Only approved hours can be invoiced. Hours still waiting for review appear once they're approved. See .
